From Brief to Build – Demystifying the End-to-End Process of Creating a Workplace with Catalyst
Creating a new workplace can feel daunting. With so many moving parts, from understanding what your people need, to navigating budgets, timelines, and design decisions; it’s no surprise many organisations find the process overwhelming.
At Catalyst, we believe in making this journey simple, seamless, and transparent. Here’s how we approach the process, from the very first conversation to handing over the keys.
Starting with the Vision
When a client first comes to Catalyst with an idea for a new workplace, the first step is to understand what they’re really trying to achieve.
We look at desirable outcomes: What does a good office mean for you? What do yourpeople want? What does the business need to operate effectively?
This means looking holistically at operational requirements, people, and commercial constraints. In office projects, clients are often lease-driven, which means tight timeframes and critical milestones. Understanding these realities from the outset helps us shape a realistic, achievable path forward.
Building a Strong Brief
A successful project begins with a strong workplace brief. But many clients don’t arrive knowing exactly what they need, or how much space they really require.
It’s about testing and validating. Do you really need that much desk space, or would breakout and collaboration areas better support your people? Different teams work differently, so understanding personas, operations, and the interplay between functions is key. A strong brief is people-focused, operationally sound, and commercially viable.
Integrating Design and Delivery
Catalyst’s integrated model brings architects, designers, project managers, and construction managers under one roof. This collaborative approach ensures design, strategy, and brand are always balanced with programme, budget, and delivery.
Because our teams sit together, we can problem-solve in real time. Design decisions are tested against commercial realities as they’re being made. That means fewer surprises, less rework, and a more cohesive, well-considered outcome for our clients.
From Design to Build
When construction begins, the groundwork laid upfront pays off. With programme and financial overlays already considered, and long-lead items ordered in advance, the build phase becomes about executing a well-thought-out plan.
There are always challenges, but by addressing risks early, we mitigate delays and protect budgets. Our clients benefit from the confidence that comes with a plan tested from every angle before a single wall goes up.
Overcoming Common Challenges
Time is one of the biggest pressures in workplace projects. Lease expiries often sneak up on organisations, leaving them feeling they have no time to act. Catalyst helps by planning around critical deadlines from day one, whether that means staged fitouts, temporary solutions, or managing make-good requirements.
Quality is another common challenge. Because our project and construction managers are involved from the beginning, design intent is protected while ensuring commercial realities are met. It avoids costly reinvention later and ensures the finished workplace delivers on both function and experience.
Why It Matters
For many organisations, the “brief to build” approach might sound like a premium option. In reality, it’s often the most economical and risk-free.
It reduces the risk of programme delays, budget blowouts, and quality compromises. And for clients, it means one point of contact. You don’t need to coordinate multiple consultants or chase answers across different firms - we handle it all under one roof.
”But beyond efficiency, what truly sets Catalyst apart is people. We don’t just build workplaces, we build relationships. Our teams are fully in-house, from designers and architects to project and construction managers. That human, collaborative approach makes all the difference.” — Kayla Allan, Wellington Regional Manager at Catalyst Group

EDMI, Wellington
The space at 100 Taranaki Street/1 Ghuznee Street presented a unique challenge for creating a modern office environment. Once home to a bar, restaurant, and brewery, the building had been stripped down to its core, featuring exposed beams, columns, and raw structural elements. It lacked the essential services infrastructure typically found in office buildings. Located on a busy city street corner, this was not the typical setting for a low-profile, high-tech company like EDMI.

Gallagher Insurance Auckland Flagship Office
Gallagher Insurance, formerly known as Crombie Lockwood, were keen to get their Auckland central teams working from one flagship office, having been in two central city locations for many years. This required a complete refit to accommodate both locations and various functional teams together and also presented a perfect opportunity to showcase the planned rebrand to Gallagher.
